Creating and Managing Products
This guide provides a comprehensive overview of how to create, manage, and track products in the Easyesuite system. Properly managing your product catalog is essential for accurate inventory, sales, and reporting.
Understanding Product Types
The system supports three distinct product types to handle any sales scenario:
- Inventory Items (INV): Standard, individual products that you stock and sell. This is the most common product type.
- Kit Packages (KIT): Bundles composed of multiple inventory items that are sold together as a single unit. The inventory of a kit is determined by the stock of its components.
- Variant Items (VAR): Products that come in different variations, such as size, color, or material. Each unique variation (e.g., a red, small t-shirt) is based on an underlying inventory item.
The Products List Page
All product management starts from the central products list.
To access this page:
1. Navigate to Items in the main menu.
2. Select Items Info from the submenu.
On this page, you can:
- Search and Filter: Use the search bar and filters to find products by name, SKU, type, or creation date.
- Sort: Click on column headers to sort the list.
- Export: Export the filtered list to an Excel file.
- Sync: Synchronize product information with your connected marketplaces.
- View Details: Double-click any item to open its detailed view.
Creating Products
From the products list page, click one of the "Add" buttons to begin.
✨ Tip: Quick Add with UPC
For the fastest data entry, use the "Add Item with UPC" feature. Enter a product's UPC, and the system will search an external database to auto-fill details like the name, brand, description, and images, saving you valuable time.
1. Creating a Standard Inventory Item (INV)
This is the foundation of your product catalog.
- Click the "Add Item" button.
- Fill out the essential product details in the form provided.
Key Sections:
- Product Information:
- Item Name (SKU): A unique internal name or Stock Keeping Unit for the product (required).
- UPC: The product's Universal Product Code.
- Marketplace Title: The customer-facing name for the product on marketplaces like Amazon or eBay.
- Product Images:
- Upload up to 10 images. The first image is the primary thumbnail.
- Drag and drop images to change their order.
- Sales & Pricing:
- Purchase Price: The cost of the item from your supplier.
- Costing Method: Select how inventory costs are tracked (e.g., "Average Cost," "FIFO"). "Average Cost" is the most common and is set by default.
- Classification:
- Brand: The brand name of the product.
- Taxable: Enable this toggle if the item is subject to sales tax (on by default).
- Serialized: Check this box if you need to track each unit with a unique serial number, which is useful for warranties and returns.
- Click "Add Item" to save the new product.
2. Creating a Kit Package (KIT)
A kit is a virtual bundle of existing inventory items sold as a single product.
- Click "Add Kit Package".
- Fill in the main product information (Name, SKU, Images) for the kit itself.
- In the "Items" section, add the component products:
- Use the searchable dropdown to find and select an existing inventory item.
- Enter the Quantity of that item to be included in one kit.
- Add as many component items as needed. A kit must contain at least one item.
- Click "Add Kit Package" to save.
3. Creating a Variant Product (VAR)
Use this for products with different options, like a t-shirt that comes in multiple sizes and colors.
- Click "Add Variant Item".
- Fill in the main product information (Name, SKU, Images) for the "parent" product (e.g., "Men's Classic T-Shirt"). This information is shared across all variants.
- In the "Items" section, define the variations:
- First, add the base Inventory Items that represent each unique variant (e.g., TSHIRT-RED-S, TSHIRT-RED-M). These must be created as standard inventory items first.
- Click the "Add Variants" button to open the variant options modal.
- In the modal, configure the attributes for each variant:
- Variation Option: Select the attribute from a predefined list (e.g., "Size: Small," "Color: Red").
- Swatch Image: Upload an image that represents the variation, such as a color swatch. This helps customers visualize their selection.
- Click "Save" in the modal, and then click "Add Variant Item" to create the product.
Managing Existing Products
Editing a Product
To edit a product, find it in the product list and double-click it, or open it and click the "Edit" button. You can then update any of its details and save the changes.
The Product Detail Page (Tabs)
When you view an existing product, you will see several tabs that provide a complete 360-degree view of the item:
- Details: The main product information form.
- Movements: Inventory movement history and transactions (adjustments, transfers, receipts, shipments).
- Inventory: View current stock levels, including quantity on hand, committed, and available, across different warehouses.
- Sales Orders: A list of all sales orders that include this item.
- Purchase Orders: A history of all purchase orders for this item (not applicable to kits).
- Invoice Items: A list of invoice lines that reference this product.
- Bill Items: A list of bill/expense lines that reference this product.
- History: A detailed audit log of all changes made to the product, including who made the change and when.
Deleting a Product
To permanently remove a product, open its details page and click the "Delete" button. This action is irreversible and requires confirmation. Before deleting, ensure the product has no associated inventory or open transactions.
Navigating to Products
All product-related actions start from the Products List page.
To navigate to the products page:
Open the main menu.
Select Items.
Click Items Info.
From this page, you can view, search, create, edit, and delete products.
Adding a New Product
You can create different types of products directly from the products list page.
To add a product:
Navigate to Items → Items Info.
Click one of the available add buttons:
Add Item: Create a standard inventory item (INV).
Add Kit Package: Create a kit product (KIT).
Add Variant Item: Create a variant product (VAR).
Fill in the required product information.
Click Add to save.
Once saved, the product will appear in the products list and become available for inventory and sales operations.
Updating an Existing Product
You can update product information at any time unless restricted by system rules.
To update a product:
Navigate to Items → Items Info.
Locate the product in the list.
Double-click the product
Modify the required fields.
Click Save to apply changes.
Deleting a Product
Products can be permanently deleted if they are not linked to inventory or transactions.
To delete a product:
Navigate to Items → Items Info.
Open the product details.
Click Delete.
Confirm the deletion.
Important Notes:
Deletion is irreversible.
A product cannot be deleted if it has:
Inventory on hand
Open sales orders
Open purchase orders
Related transactions
